Privacy Policy

The GDPR & Privacy Policy agreement sets out how any personal data we collect from you, or that you provide to us, will be stored and processed confidentially.

How we gather your personal information

• Information that you provide by emailing us via the website and via various life coaching directories and platforms or by phone to request further information about our members club.

• The New Client/Members Questionnaire.
• Session notes.
• Regarding online coaching sessions, we use the platforms Google Meet, Microsoft Teams and Zoom. All these platforms are securely encrypted. 
• Stripe (Payment Processing Platform)

Where we store your personal data

• Personal data that we collect from you via any form of contact by email or phone will be kept securely.
• The  New Client/Members Questionnaire, your contact details, and any notes we may record are stored on a computer and password protected.
• The session notes are anonymised, using your initials only and are password protected.
• We take all steps reasonably necessary to ensure that your data is treated securely and in accordance with this privacy policy.

Uses made of the information

• We use your contact details to provide you with information about the service that you request from us, to allow you to tell us about changes in your availability and to notify you about changes to our availability and any other relevant administrative changes.
• We use session notes to carry out our obligations arising from the agreement entered (please read the client agreement for further information).
• We use your contact information to provide you with further information about any new services, including updates from our blog, newsletter and promotions. 
• If you choose not to proceed with coaching after our clarity call, your personal information will be deleted after 7 days. If you choose to start wellness coaching, any personal information we hold will be retained for two years.

How long we keep your information/notes for

• We will retain your session notes for as long as we are working together. After our coaching sessions have finished, we will retain these documents for a further two years in case you decide to return to coaching with Kind Kulture Club, and which is also a requirement of our indemnity insurance, and then after which the documents will be destroyed.

Your rights

• You are entitled to view the personal information that we hold. Any requests to access your personal data will have a month to be completed.

In the event of a data breach

• We have a legal obligation to report a data breach to you and the Informations Commissioners Office (ICO) within 72 hours.

Changes to the GDPR agreement

• We will notify you of any changes we may make to this privacy policy in the future via email and the Kind Kulture Club website.

Consent to the GDPR agreement

• Your use and undertaking of the services constitutes your approval and acceptance of this agreement, and are consenting to the use, and storage of your personal information, you have disclosed to us, as detailed above. You have the right to withdraw your consent at any time. Please note that if you withdraw your consent, this will also impact on your ability to use the services offered by Kind Kulture Club.
